PA & Relationship Co-ordinator – Marais Road Shul
ABOUT THE ORGANISATION AND THE ROLE
The Green & Sea Point Hebrew Congregation, affectionately known as Marais Road Shul, has been the spiritual home of Cape Town’s Atlantic Seaboard Jewish community since 1926. The Shul has a new opportunity for a dynamic, community-oriented and tech-savvy PA & Relationship Coordinator who is invested in the growth of the Marais Rd shul community.
The ideal candidate will thrive in a people-oriented environment, where no two days are the same. This individual must be equipped to streamline workflow, enhance marketing efforts using AI and other tech-tools in order to create time and space for meaningful relationship building with the congregants.
MAIN DUTIES & RESPONSIBILITIES
1. Executive Support to the Rabbi
- Ensure all activities are aligned to the vision of the Rabbi and the Board of the shul.
- Manage the Rabbi’s diary, appointments and schedule, co-ordinating meetings and managing correspondence.
- Act as the first point of contact for congregants wishing to meet with or speak to the Rabbi.
- Provide confidential administrative and ad hoc support.
2. Marketing, Communications & Community Engagement
- Utilise AI tools to enhance communication and administration
- Use AI to enhance and expedite creative outputs
- Manage all communication channels using tech and AI tools
- Maintain and update the WordPress website and manage social media platforms.
3. Congregant Relationship Management
- Foster positive relationships between the congregation and the Shul.
- Coordinate the Bar and Bat Mitzvah Club including communications and payment follow-up.
- Professionally manage enquiries, concerns and complaints.
- Liaise with families regarding aliyot, sponsorship opportunities and event arrangements.
4. Database Administration
- Maintain and update the congregation’s membership database including significant lifecycle events and a milestones.
- Generate and distribute yahrtzeit notices and prepare weekly birthday, anniversary and yahrtzeit reports for the Rabbi.
REQUIRED SKILLS & EXPERIENCE
The ideal candidate will have the following competencies:
1. Work experience and industry exposure
- Previous experience as a Personal Assistant, Executive Assistant, Office Administrator, Community Coordinator or in a similar client-facing administrative role, is essential
- Previous exposure to AI and other tech tools for managing workflow.
- Experience supporting senior executives or leadership is desirable
- Experience managing a variety of Social Media channels, essential
- Experience coordinating events or community programmes is advantageous.
2. Strong Communication and Interpersonal skills
- Excellent verbal and written communication skills with the ability to build strong relationships.
- Professional, empathetic and approachable communication style with a strong customer service orientation.
- Ability to manage sensitive conversations with discretion and diplomacy.
3. Excellent Administration and Organisational Skills
- Experience managing confidential information.
- Database administration experience.
- Exceptional organisational skills with strong attention to detail.
- Excellent diary and calendar management.
- Strong coordination abilities, with the ability to prioritise multiple competing demands.
4. Specific Requirements
- Computer literate with Microsoft Office proficiency and CRM experience
- Comfortable using AI productivity tools.
- Previous experience within a religious, non-profit or membership organisation would be beneficial.
- Ability to read and understand basic Hebrew, desirable
- Knowledge of the Jewish holidays and milestones, desirable
- Engaged with progressive tech tools and AI to optimize daily administrative functioning within the organisation.
- Excited and in-touch with how to use AI beyond its use as a search tool.
