PA to CEO/Entrepreneur – Falco Milano
ABOUT THE ORGANISATION AND THE ROLE
Falco Milano is a proudly South African luxury design and manufacturing company specialising in designer eyewear, sunglasses and accessories. Known for timeless elegance, sophisticated craftsmanship, and modern innovation, Falco Milano is a premium brand with international reach and deep local roots.
The CEO is looking for a dynamic and professional PA to join the small team. This pivotal role supports the Executive team by ensuring the smooth running of all administrative operations, helping drive business strategy, and maintaining high-level communication across the organisation.
This role is ideal for someone who thrives in a fast-paced, entrepreneurial environment, is exceptionally organised, has an eye for style and aesthetics, and prides themself on discretion at the highest level.
MAIN DUTIES & RESPONSIBILITIES
- Calendar management, scheduling meetings and calls: super organised to make sure balls aren’t dropped, including preparing and sending reminders for important events
- Tracking open business tasks (documents, payments, paperwork with authorities)
- Assist with compiling meeting presentations and business reports, memos and agendas
- Communication management: Handling emails, calls, and supplier/customer communication.
- Light marketing support: social media updates, light content.
- Negotiate quotes and better deals for expo’s and generally dealing with suppliers
- Run and manage the office day to day
- Travel Management: Manage all travel (local and international) arrangements, including flights, accommodation, visas, transport, itineraries for delegates, and invoices
- Managing personal and business-related errands, payments and bookings, assisting with daily-life coordination.
REQUIRED SKILLS & EXPERIENCE
The ideal applicant will have the following competencies:
1. Work experience and industry exposure
- Minimum of 3–5 years’ experience in a Personal or Executive Assistant role, ideally in a dynamic entrepreneurial environment.
- Proven track record of managing both business and personal tasks for a senior leader or entrepreneur.
- Exposure to environments requiring independent decision-making and multitasking across operational, marketing, and personal domains.
2. Strong Communication and Interpersonal skills
- Excellent communication skills in English—both verbal and written—with the ability to draft professional emails and liaise confidently with suppliers, clients, and service providers.
- Strong interpersonal skills, with a warm, professional presence and the ability to interact effectively with internal teams and external stakeholders.
- Comfortable handling confidential information with the highest level of discretion.
3. Excellent Administration and Organisational Skills
- Exceptionally organised with outstanding calendar, time, and task management abilities.
- Able to manage complex schedules, track multiple priorities, and coordinate projects with minimal supervision.
- High attention to detail and accuracy; thrives in fast-paced, ever-changing environments.
- Capable of running the office independently and ensuring the smooth flow of administrative operations.
4. General
- Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar), Outlook, and WhatsApp Business.
- Familiarity with Canva or similar design tools is an advantage.
- Energetic, adaptable, and proactive with a strong sense of initiative.
- Comfortable negotiating quotes and coordinating logistics for events, travel, and business operations.
- Flexible, upbeat personality with a good sense of humour and ability to bring positivity into high-pressure situations.
- An eye for style and aesthetics is a bonus—helpful in reviewing content, presentations, or design outputs.
