ABOUT THE ORGANISATION AND THE ROLE

Beit Midrash Morasha is a modern-Orthodox, religious-Zionist community in Sea Point, South Africa, with a strong commitment to Torah, Tfila and Chessed. They are looking for a dynamic people’s person with a warm, friendly, confident disposition to be the face of their organisation, offering support on all administrative and operational matters, including communication with the public and organisation of events.

MAIN DUTIES & RESPONSIBILITIES

1. Frontline duties

  • Operate switchboard, taking messages where applicable
  • Receive visitors and make them feel welcome
  • Develop a personal familiarity with all members of the community.

2. General Office Administration

  • Oversee all office administration including ordering of stationery and office consumables
  • General filing and printing.
  • Coordinate with all service providers when required.
  • Arrange daily, weekly and monthly schedules for Rabbi and congregation
  • Liaise with committees and sub-committees and take minutes at monthly Committee meetings and AGM.
  • Keep an updated google drive with all the congregations’ important documents eg constitution, meeting minutes, etc
  • Other ad hoc administration duties as and when required.

3. General Finance and HR

  • HR – keep up to date records and supervise all staff including casual, kitchen and security staff.
  • Finance – work closely with community’s bookkeeper to manage finance function. This includes but is not limited to:

º Preparing Yom Kippur appeal and reconciling.
º Managing salaries and casual wages
º Managing cash flow and Petty Cash
º Managing and liaising with debtors
º Paying creditors

  • May be seconded for a brief period to the Morasha Education and Outreach Foundation to assist with their financial record keeping and administration.

4. Communication

  • Drafting of communications to the community and communication on behalf of executive.
  • Prepare and send out all routine correspondence to members including announcements of births/deaths/Mazal Tovs, yahrtzeit letters, etc.
  • Prepare and printing of newsletters and related posters and promotional materials. This includes publishing the weekly member newsletter.

5. Event Management

  • Manage functions together with function convenor and support team. This may include poster design.

6. PA TO RABBI

  • Provide comprehensive secretarial and PA support to the Rabbi and assist him with preparing for meetings; functions and related activities as may be required.

REQUIRED SKILLS & EXPERIENCE

1. Education

  • Matric is essential and a secretarial diploma or undergraduate degree is advantageous.

2. Experience

  • Atleast 3- 5 years’ previous experience in secretarial, coordination or administrative position in a fast-paced working environment is essential
  • Bookkeeping / financial administration experience is advantageous

3. Excellent Communication Skills

  • Strong inter-personal skills with the ability to effectively communicate with people from all ages and stages of life
  • Excellent verbal and written communication skills with the ability to liaise with lay-leaders and members, to build and cement relationships with the community.

4. Excellent Administration and Organisational Skills

  • Highly organised and proactive with the ability to multitask and prioritise effectively
  • Systems oriented with good attention to detail
  • A flexible, self-driven individual who is able to work autonomously while maintaining open channels of communication with a team
  • A proactive individual who uses their initiative to ensure service and performance are always to a high standard.

5. Strong Computer Skills

  • Basic QuickBooks skills are a distinct advantage.
  • Strong working knowledge of Microsoft Office 365: Word, Excel and Outlook
  • Experience in managing a database
  • Proficient with Zoom and Teams.

6. General

  • Customer focussed and friendly with a passion for service excellence
  • Trustworthy and reliable with the ability to manage confidential information in a discrete and sensitive manner
  • Comfortable working in an Orthodox environment.
