Grant Administrative Consultant (Independent Contractor)
ABOUT THE ORGANISATION AND THE ROLE
An international philanthropic organisation is seeking a highly organised and detail-oriented administrative consultant to support the grant-making and financial administration functions of its foundation. The role is remote, based in South Africa, but requires close collaboration with teams across Europe, North America, the Middle East, and Africa.
This position is administrative in nature, requiring strong organisational skills, attention to detail, and the ability to manage documentation, payments, and compliance records. The consultant will be responsible for filing, document preparation, data entry, and financial tracking within a structured system. The ability to work independently, follow structured workflows, and meet deadlines is essential.
While the consultant will work remotely, they must be available for regular collaboration with international teams and have prior experience in administrative roles that involve financial or grant-related tasks.
MAIN DUTIES & RESPONSIBILITIES
1. General Administrative Support
- Maintain an organised online filing system, ensuring documents are labelled and stored correctly.
- Prepare agreements, letters, and official correspondence for signature and processing.
- Update and track key documents, including grants, financial records, and compliance paperwork.
- Assist in managing schedules, deadlines, and internal document approvals.
2. Grant and Compliance Administration
- Capture and update grant-related information in the organisation’s internal system
- Assist in ensuring grant agreements are signed and stored properly
- Communicate with teams to ensure that compliance requirements are met, and necessary documents are obtained.

3. Financial Administration and Payment Processing
- Prepare and process invoice payments and financial transactions through an international banking system.
- Track financial records, ensuring payments align with grants and budgets.
- Assist with data entry and reconciliation of financial transactions, ensuring accuracy.
4. Document Processing and Coordination
- Organise and prepare documents for electronic signature (e.g., DocuSign)
- Support the preparation of financial authorisation letters and approvals
- Liaise with internal teams to ensure all documentation is up to date and compliant with grant policies.

5. Global Coordination and Committee Support
- Assist with preparing, reviewing, and submitting reports for compliance and governance committees.
- Organise and consolidate documents for executive reviews and sign-off.
- Participate in monthly online meetings with global teams to track progress and address administrative matters.

REQUIRED SKILLS & EXPERIENCE
The ideal applicant will have the following competencies:
1. Education and Qualifications
- A degree or diploma in Business Administration, Finance, or a related field is advantageous
2. Work experience and industry exposure
- Atleast 5-7 years of experience in an administrative, financial, or compliance role.
- Experience working with trusts, grant-making, or financial institutions is beneficial.
- Experience working with financial transactions, payment processing, or donor funding is beneficial.
- Familiarity with KYC, compliance, and financial documentation is an advantage.
3. Strong Communication and Interpersonal skills
- Strong verbal and written communication skills, with the ability to liaise with international teams.
- Professional and discreet approach to handling sensitive financial and trust-related information.
- Detail-oriented, and able to work independently with minimal supervision.
- Ability to manage and organise high volumes of administrative tasks efficiently.
- Ability to work effectively across multiple time zones and collaborate with teams in different regions.
4. Excellent Administration and Organisational Skills
- Meticulous, methodical, and highly detail-oriented to ensure accuracy in complex administrative processes.
- Strong time management skills, with the ability to manage multiple priorities effectively.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PDF management) and digital tools like DocuSign.
5. General
- Ability to work remotely and independently, while maintaining close coordination with an international team.
- Financial literacy and ability to process payments and reconciliations accurately.
- Flexibility to attend monthly online meetings with global teams.
- Strong confidentiality and discretion.
