ABOUT THE ORGANISATION AND THE ROLE
Eliot Osrin Leadership Institute is focused on identifying and investing in professional and lay/volunteer leaders across all Jewish community organisations. They upskill and empower leaders through leadership training programmes and workshops. They are looking for a Freelance Administrator to support the team with the work of the organisation.
MAIN DUTIES & RESPONSIBILITIES
1. General administration and logistics:
- General administration using Microsoft office suite (Outlook, Excel, Word, PowerPoint)
- Use of cloud-based platforms like Google Drive and Dropbox for document sharing
- Database management
- Minutes of meetings
- Management and application of online platforms: DropBox; Zoom; Typeform; SurveyMonkey; Mailchimp
- Ordering of stationery and supplies
- Managing printing requirements
- Booking venues and liaison with venue staff
- Arranging catering/menus for events
- Managing (organisation and community) calendars and event schedules
- Manage deliveries – be present for logistics support for all events, or as required
- Knowledge of tech requirements for presentations, workshops, and seminars is useful
- Manage online and in-person registrations for all events, workshops, and applications for new cohorts, as well as all administration relating to the set-up and breakdown of these events (including tech set-up)
- Post event evaluation.
2. Financial administration:
- Excellent record keeping
- Tracking/recording of donor schedules/pledges
- Work with all team members, including accounts dept
- Generating quotes for organisational requirements
- QR codes/SnapScan/ donation payment methods
- Admin support to director, professional team, fundraiser and other specialists, including Advisory Board.
3. Marketing/Branding:
- Posting on social media channels: Facebook, LinkedIn, website, Jewish community platforms
- Events and related communications
- Recruitment for workshop and programme attendance and managing communication and responses
- Design of marketing collateral using Canva and other online design platforms
- Website maintenance
- Manage YouTube channel and video content.
REQUIRED SKILLS & EXPERIENCE
1. Education and work experience
- At least 4-5 years’ administration experience.
- Knowledge of the community and the NGO sector is important
- Exposure to social media administration is a distinct advantage.
2. Strong Communication and Interpersonal skills
- Excellent command of English (verbal and written) is essential with a clear and concise communication style
- Ability to effectively liaise with all stakeholders
- Ability to communicate telephonically in an effective and professional manner
- Strong inter-personal skills with the ability to communicate effectively across a number of teams.
3. Excellent Administration and Organisational Skills
- Highly organised, systems oriented, comfortable working in an unstructured environment
- A flexible, self-driven individual with strong attention to detail
- A proactive individual who uses their initiative to ensure service and performance of a high standard
- Methodical and process oriented with strong attention to detail for record keeping and report writing
- Able to work autonomously while maintaining open channels of communication with the team
- Willing to take instructions and carry out the requirements of organisation and team
- Research requirements on request.
4. General
- Good computer literacy (Microsoft Office Word, Excel and Outlook) is essential
- Skilled in basic graphic design e.g. Canva or design programmes is advantageous
- Applicant must be available and flexible to work both in person and at home, especially for director/team briefings
- Available to carry out/be present for EOLI programmes on Sundays and evenings when required.
