ABOUT THE ORGANISATION AND THE ROLE

Visual Creations is a creative event and function décor company, delivering exceptional visual effects, décor, and props to a range of corporate and private clients across South Africa. Known for its flair, energy, and attention to detail, the company is now looking for an efficient and proactive Administrative Assistant to join its team. 

This role is ideal for someone who thrives in a flexible, fast-paced environment and enjoys bringing structure and calm to the chaos of the event world. You will work directly with the director and key team members, supporting both office operations and event preparation.

MAIN DUTIES & RESPONSIBILITIES

  • Provide comprehensive administrative support to the business
  • Maintain the debtors book and follow up on outstanding accounts
  • Process quotes, invoices, customer statements using Sage
  • Liaise with customers, suppliers, and vendors via email and telephone
  • Obtain supplier quotes for events – ensuring value and reliability
  • Manage permits for special events and liaise with the Bomb Squad and SAPS
  • Coordinate with service providers such as IT, Telkom, etc.
  • Keep daily attendance registers and monitor staff leave balances
  • Prepare leave reports and update payroll records monthly
  • Handle general correspondence and administrative documentation
  • Maintain the office environment and ensure equipment is functioning.

REQUIRED SKILLS & EXPERIENCE

The ideal applicant will have the following competencies: 

1. Work experience and industry exposure

  • Atleast 4 years of strong administrative experience, ideally with bookkeeping or payroll exposure
  • Experience in or understanding of the events industry is advantageous.

2. Strong Communication and Interpersonal skills

  • Excellent verbal and written communication
  • A self-driven individual who is able to multi-task and work autonomously while maintaining open channels of communication with a team.
  • Ability to liaise confidently with suppliers, vendors, and team members

3. Excellent Administration and Organisational Skills

  • Highly organised with excellent attention to detail
  • Able to manage multiple responsibilities under pressure.

4. General

  • Own transport is essential
  • Proficient in Sage (invoicing, statements) and Microsoft Office
  • Independent thinker and self-starter
  • Creative problem solver who can bring order to chaos
