ABOUT THE ORGANISATION AND THE ROLE

With advanced, world-class technology, Fasta provides customers with credit in minutes.  The company is seeking a highly organized and detail-oriented Finance Administrator & Office Manager to support its Finance and Admin department. This role combines finance, administration, personnel administration, and office operations.

MAIN DUTIES & RESPONSIBILITIES

1. Finance & Reporting

  • Assist with preparation of management accounts
  • Perform reconciliations (bank, creditors, debtors, and other accounts)
  • Generate invoices and process supplier invoices (Using Datamolino)
  • Processing supplier payments
  • Support financial record-keeping and bookkeeping functions
  • Assist with reporting for management and compliance purposes.

2. Office Management & Administration

  • Oversee day-to-day office and facilities management
  • Monitor and replenish office supplies and maintain vendor relationships
  • Plan and arrange internal office events (team functions, staff activities, celebrations)
  • Ensure smooth running of general office operations and issue resolution
  • Maintain and update the company’s asset register
  • Schedule meetings and liaise with suppliers and stakeholders.

3. Staff Personnel Management

  • Manage onboarding and offboarding of employees
  • Assist with HR administration.

    4. Compliance & Safety

    • Assist with legal and regulatory compliance for office management
    • Ensure workplace health & safety standards are implemented and maintained
    • Prepare reports for management review and compliance audits.

    REQUIRED SKILLS & EXPERIENCE

    1. Qualification and Work Experience

    • Matric certificate (must include Mathematics and Accounting as subjects)
    • Diploma or Degree in Finance/Accounting (preferred)
    • Strong financial background with proven experience in Finance, Administration, or Office Management.
    • Strong understanding of reconciliations and reporting processes.

    2. Strong Communication and Interpersonal skills

    • Strong interpersonal skills and professional communication style
    • Ability to liaise with all stakeholders professionally
    • Able to manage difficult situations and personalities in a calm and rational manner.
    • Strong team collaboration and organisational support capabilities.

    3. Excellent Administration and Organisational Skills

    • Proficiency in Xero Accounting Software is essential
    • Ability to multitask, prioritize, and work independently
    • Solid understanding of finance principles and reconciliations
    • Excellent time management and ability to work under pressure.

      4. Specific Requirements

      • Proficiency in MS Office (Excel, Word, Outlook) and Xero Accounting Software
      • Analytical, detail-oriented, and proactive in problem-solving.
