Office Co-ordinator – South African Zionist Federation Cape Council
ABOUT THE ORGANISATION AND THE ROLE
The SA Zionist Federation Cape Council, an umbrella organisation for all Zionist organizations in the Western Cape Jewish community, provides the bridge between the Jewish community in the Western Cape, South Africa and Israel. The national organisation also acts as a point of contact for stakeholders in Israel and SA interested in furthering the Israel – SA relationship.
The role of the Office Co-ordinator is to assist with all administration duties for the organization, relating to day-to-day functioning as well as events, while specifically supporting the Director, team and sub committees with administration and communications.
MAIN DUTIES & RESPONSIBILITIES
1. General Administration
- General administrative support to the team and coordinate office operations
- Managing information flow amongst the team, Council/sub committees and executive
- Minute taking for Council and subcommittee meetings
- Manage calendar, polls and scheduling of meetings
- Manager daily email communication, queries, and memo’s
- Support with presentations and reports
- Maintain databases and contact lists on Mailblaze
- Create email content and facilitate eSends/Social Media posts
- Letters to community members and others
- Answering phone calls and address queries
- Invoice coordination.
2. Functions and Events
- Administrative support for events including research, quotes, bookings and managing of travel arrangements
- Arrange catering/décor/sound/photographer, gifts, speakers etc
- Distribute invitations and manage RSVP’s
- All admin related to events (sending out zoom links, minute taking etc).
REQUIRED SKILLS & EXPERIENCE
The ideal applicant will have the following competencies:
1. Work experience and industry exposure
- Matric is essential, Admin/ Secretarial diploma or certificate advantageous
- A minimum of 3 years’ office admin experience essential
- Previous experience in a Jewish organisation, advantageous
- Understanding of SAZF ideology and a passion for Israel, essential.
2. Strong Communication and Interpersonal skills
- Strong inter-personal skills with the ability to effectively communicate with people from all ages and stages of life
- Excellent verbal and written communication skills with the ability to liaise with lay-leaders and members
- Warm and friendly individual, confident and outgoing
- Team player and able to take instruction but also use initiative, be a self-starter who can prioritize and multitask.
3. Excellent Administration and Organisational Skills
- Excellent administrative and organisational skills
- Highly organised and proactive individual who has the ability to multitask and prioritise effectively
- A flexible, self-driven individual who is able to work autonomously while maintaining open channels of communication with a team
- Excellent time management skills
- Minute-taking skills
- Meticulous attention to detail.
4. General
- Microsoft Bouquet (Word, Excel, Powerpoint and Outlook is essential)
- Mailblaze experience, advantageous
- Creative and out-the-box thinker
- High energy.
