Administrative Assistant – Union of Jewish Women (UJW)
ABOUT THE ORGANISATION AND THE ROLE
The UJW is a national non-profit organisation committed to promoting the rights and status of women, supporting the members/ organisations of the Jewish community, as well as helping to enrich and enable South Africans in need whilst strengthening links with Israel and affiliation to the International Council of Jewish Women. The UJW is looking for a self-driven, organised individual to support the project co-ordinator and the financial administrator.
MAIN DUTIES & RESPONSIBILITIES
1. Frontline and house duties
- Perform general reception duties.
- Maintain a system of organisation in the office.
- Manage the office (house) – including staff, maintenance, insurance policies, purchasing supplies, managing house calendar, ensuring the house is run smoothly.
2. General administration
- Support the team, project co-ordinator and the financial administrator, with general administration tasks
- Receive, and manage records for donations (When people drop things off)
- Follow up on collection of subscriptions and maintain database
- Support with setup of functions
- Additional ad hoc administrative tasks as and when required.
3. Yad Sara
- The loan of medical equipment: Assume responsibility and all duties relating to the loan, checking in and maintenance of medical equipment.
REQUIRED SKILLS & EXPERIENCE
The ideal applicant will have the following competencies:
1. Work experience and industry exposure
- Minimum 3 – 5 years’ previous experience in administration with a high degree of customer interaction is essential.
- Experience in the NGO sector is a distinct advantage.
2. Strong Communication and Interpersonal skills
- Excellent verbal and written communication skills with the ability to interact professionally with people of different ages and cultural backgrounds.
- Ability to communicate telephonically in an effective and professional manner.
- A mature, confident and outgoing individual who is friendly and accessible.
3. Excellent Administration and Organisational Skills
- Strong organizational and coordination skills with the ability to work under pressure to meet deadlines.
- Systems oriented with good attention to detail.
- Comfortable working in an unstructured environment.
- A proactive individual who uses their initiative to ensure service and performance are always to the highest of standards.
- A team player who is comfortable taking instruction.
- A flexible, self-driven individual who is able to work autonomously while maintaining open channels of communication with the team.
4. General
- Proficient in Microsoft (Word, Excel (advanced), Outlook)
- Physically fit with the ability to carry medical equipment for Yad Sarah
- Trustworthy and honest with the ability to manage confidential information in a discrete manner
- Customer focused and friendly with a passion for service excellence
- Willing to work overtime for events and functions on an ad-hoc basis.
