Administrative Assistant – Adam International
ABOUT THE ORGANISATION AND THE ROLE
Adam International is the importer and distributor in South Africa of a British brand of travel accessories. It is a family-owned business that has been in operation in South Africa for over 30 years. Its close-knit professional team prides itself on quality products, attention to detail and customer service.
They are seeking a highly organised and independent Administrative Assistant to join this team and support the Director with a variety of key administrative, communication, and research functions. This role is ideal for someone who is proactive, structured, and comfortable managing tasks from start to finish without needing close supervision. A confident communicator, you’ll help streamline internal operations while also assisting with light marketing and product research, making use of your knowledge of digital tools and platforms.
MAIN DUTIES & RESPONSIBILITIES
1. Administration
- Manage and maintain internal spreadsheets, digital records, and filing systems
- Capture and process invoices and assist with basic reconciliations
- Draft and send professional correspondence to suppliers, customers, and service providers
- Coordinate and manage internal communications and scheduling
- Ensure the accurate execution of all administrative processes with strong follow-through
- Maintain structure and efficiency in both physical and digital environments.
2. Operational Support
- Provide hands-on support to the Director in daily business operations
- Track deadlines and ensure tasks are followed through to completion
- Assist with preparing documentation or basic reporting as needed
- Help streamline workflows and improve operational processes
- Liaise with suppliers and service providers as required.

3. Marketing and Communication
- Conduct independent online research, as required, using social media platforms and AI tools.
- Monitor and engage with social media platforms (Instagram, Facebook, LinkedIn TikTok) for research and brand awareness
- Create or source content for posts and simple campaigns –
- Support the Director in light marketing coordination and outreach when required
- Maintain a basic awareness of industry trends, especially within retail and wholesale.

4. General
- Provide ad hoc support to the broader team across admin and operational tasks
- Proactively contribute to the improvement of systems, tools, and processes
- Support the office environment through reliability, professionalism, and initiative
- Demonstrate strong problem-solving skills and adaptability in a dynamic environment.

REQUIRED SKILLS & EXPERIENCE
The ideal applicant will have the following competencies:
1. Work experience and industry exposure
- Atleast 2–3 years’ experience in an administrative, PA, or coordinator role
- Experience in a retail or wholesale environment strongly preferred
- Exposure to small business operations or multi-function teams advantageous.
2. Strong Communication and Interpersonal skills
- Excellent written communication, particularly in supplier and customer emails
- Clear and professional verbal communication
- Personable and confident in handling multiple stakeholder interactions.
3. Excellent Administration and Organisational Skills
- Exceptionally structured and methodical
- High attention to detail and the ability to manage tasks independently
- Strong time management and multitasking capabilities
- Reliable and proactive in following tasks through to completion.
4. General
- Proficient in Microsoft Office (especially Excel)
- Working knowledge of Instagram, Facebook, TikTok and LinkedIn is required.
- Comfortable working independently and bringing ideas to the table
- Must be based in Cape Town and able to work onsite daily.
