Admin and Operations Assistant – ORA Jewellery
ABOUT THE ORGANISATION AND THE ROLE
ORA Jewellery is a local e-commerce business that offers women intuitively crafted jewels that can be made into a woman’s own signature statement.
They are looking for a proactive and detail-oriented Admin & Operations Assistant to join their team to play a key role in ensuring smooth daily operations — from managing orders and liaising with the factory to handling customer queries and supporting marketing efforts. This is a dynamic role that requires excellent organisational skills, attention to detail, and a hands-on approach.
MAIN DUTIES & RESPONSIBILITIES
1. Operations & Order Management
- Process and track online orders and ensuring smooth processing from placement to delivery.
- Coordinate with the factory to manage production timelines and track orders.
- Ensure accurate and timely dispatch of completed orders.
2. Customer Service
- Follow up with customers, providing updates on orders and resolving any queries.
- Maintain accurate records of orders, invoices, and stock movements.
3. General Administration
- Assist with general administrative tasks to support the business. This may include but is not limited to support with social media marketing and management.
REQUIRED SKILLS & EXPERIENCE
1. Education and work experience
- Matric required and relevant tertiary qualification advantageous.
- Atleast 1-2 years experience in a customer facing role is essential, retail experience is advantageous.
2. Strong Communication and Interpersonal skills
- Strong communication skills and a professional, customer-centric approach.
- Able to communicate telephonically in an effective and professional manner.
- Able to manage difficult situations and personalities in a calm and rational manner.
3. Excellent Administration and Organisational Skills
- An organised and efficient individual able to manage multiple tasks efficiently in a fast-paced environment.
- Systems oriented with good attention to detail.
4. General
- Experience with Social Media Marketing / Management would be a distinct advantage.
- A flexible and adaptable individual who enjoys managing challenging situations.
- A customer-focussed individual whose service is always to a high standard.
